Summer Assignments
Faculty
The Summer Assignments document allows you to create faculty summer assignments for teaching and non-teaching activities during the summer sessions. You can create the document from the view pages of the position.
To create a faculty summer assignment:
Teaching
- Summer teaching assignments can only be created by the position's owning unit. To begin the process:
- Locate the incumbent's position by searching the the name, EID, or position ID in the Quick Search, or by entering the unit code on the Position Browse page.
- From the position or incumbent details page, click Summer Assignments.
- On the Start page, enter Creator Desk and fiscal year if needed, then click Walk-me-through or All-in-one.
- On the Summer Assignments document, click Add Teaching.
- Enter the unique number for the course, using the lookup as needed.
- Enter an account number/numbers and allocation for each account.
- Save the data. Hours per week, start and end dates, and summer rate are automatically calculated.
- Enter comments in the open text field.
- Repeat the process to enter another teaching assignment for the incumbent.
- Enter document remarks on the Document Review section (required).
Non-teaching activities
- Non-teaching activities can be created by all staff with the JFS command authorization in *DEFINE, regardless of owning unit.
- Locate the incumbent's position by searching the the name, EID, or position ID in the Quick Search, or by entering the unit code on the Position Browse page.
- From the position or incumbent details page, click Summer Assignments.
- On the Start page, enter Creator Desk and fiscal year if needed, then click Walk-me-through or All-in-one.
- On the Summer Assignments document, click Add an Activity.
- Enter an account number/numbers, start and end dates, allocation for each account, and enter comments.
- Save the data. Hours per week are automatically calculated.
- Repeat the process to enter another non-teaching activity for the incumbent.
- Enter document remarks on the Document Review section (required).
To modify a faculty summer assignment:
- Locate the incumbent's position by searching the the name, EID, or position ID in the Quick Search, or by entering the unit code on the Position Browse page.
- From the position or incumbent details page, click Summer Assignments.
- On the Start page, enter Creator Desk and fiscal year if needed, then click Walk-me-through.
- To modify existing assignments, click edit on the existing summer assignments.
Click Save to save your work and remain on the Summer Assignments page; click Save & Finish to save your work and go to the Document Review page.
